Service Charges

At Alp Travel Co., we believe in complete transparency. Our service fees reflect the time, expertise, and personalized care we invest in crafting and managing your travel.

Unlike impersonal online booking portals, we provide a human touch, end-to-end support, and act as your personal advocate before, during, and after your trip. The fees below cover our consultation, research, booking, and administrative services.

Travel Planning & Consultation Fees

These fees cover our expert time and research to design your perfect trip.

• Itinerary Design & Research Fee:
  • Service: A non-refundable “Plan to Go” fee that covers our initial consultation, research, and the creation of a fully custom-built travel itinerary. This confirms our engagement.
  • Fee: Starts from ₹2,000 per day, per itinerary option. For complete packages over ₹2,50,000, this fee will be fully credited towards your final booking.
• Travel Consultation:
  • Service: Hourly or flat-rate advisory fees for travel expertise, even if you choose to book elsewhere.
  • Fee: ₹3,500 per hour
• Visa Consulting:
  • Service: Assistance with visa application forms, documentation checks, and process guidance (does not include visa issuance or fees paid to the embassy).
  • Fee: Starts from ₹1,500 per passenger, per country

Booking & Ticketing Fees (Standalone Services)

For booking individual components outside of a full package.

• Standalone Flight Bookings:
  • Service: Includes booking commercial flights, private charters, or helicopter transfers, plus basic add-ons (seats, meals, etc.).
  • Domestic Flights: ₹350 per passenger, per ticket
  • International Flights: ₹750 per passenger, per ticket
  • Complex Flight Add-ons (e.g., Unaccompanied Minors, Pets): Additional ₹500 per passenger
• Standalone Accommodation Bookings:
  • Service (Booking Only): For when you already know the specific property, dates, and room types. We secure the booking and manage the supplier payment.
    • For Individuals: Complimentary
    • For Groups & MICE: ₹200 per room, per night (Domestic) / ₹300 per room, per night (International)
  • Service (Research & Booking): You provide your requirements, and we research, recommend, and book the ideal property for you.
  • Fee (Research & Booking): 10% of booking value or a flat ₹1,000 (whichever is higher), per booking
• Standalone Transport Bookings:
  • Service: Booking car rentals, private transfers, taxis, bus tickets, or rail passes (e.g., Eurail, Swiss Travel Pass).
  • Fee: Starts from ₹500 per booking
• Standalone Activities & Experiences:
  • Service: Booking city tours, attraction tickets, guided experiences, event tickets, etc.
  • Fee: 15% of booking value or a flat ₹750 (whichever is higher), per booking

Packaged Tours & Cruise Bookings

• Packaged Tours (Domestic & International):
  • Service: Management of multi-component packaged trips, including group tours, MICE, and educational tours.
  • Fee: Our service fee is typically included in the final, consolidated package price. For highly complex custom packages, the Itinerary Design & Research Fee (see above) may apply, which will be disclosed upfront.
• Cruise Bookings:
  • Service: Booking international or domestic cruises, including on-board add-ons.
  • Fee: Our service fee is typically included in the final cruise price.

Travel Insurance

• Travel Insurance Facilitation:
  • Service: Assisting with the selection and purchase of a third-party travel insurance policy.
  • Fee: ₹300 per policy
  • Please note: We charge this as a separate flat fee to ensure that we are not incentivized by commissions offered by various insurance companies. We always pass on the direct pricing of the insurance to you and only charge this flat fee to account for our time. This ensures we are always working in your best interest.

Administrative & Support Fees

• Rush Fees:
  • Service: For urgent bookings that require confirmation from suppliers within 24 hours of the request.
  • Fee: 1% of the total transaction value or ₹1,000 per booking (whichever is higher)
• Cancellation & Modification Penalties:
  • Service: Processing any changes or cancellations to your booking after it has been confirmed.
  • Agency Fee: ₹1,500 per passenger, per booking file
  • Please Note: This agency fee is in addition to any penalties or charges levied by the airline, hotel, cruise line, or other suppliers.
• Payment Gateway / Credit Card Fees:
  • Service: A fee charged to cover the cost of processing credit/debit card, UPI, and other online payments.
  • Fee: Varies by payment method, but typically about 2.5 to 5.5% of the total transaction value
  • This fee does not apply to payments made via NEFT or RTGS (Bank Transfer).
• On-Trip Support:
  • Standard Support (Included): * Service: Support during business hours for any supplier-related issues, emergencies, or errors related to bookings made by us. * Fee: Included for all clients.
    • Premium 24/7 On-Trip Concierge:
      • Service: 24/7 on-trip assistance for new requests, on-ground changes (e.g., restaurant reservations), and non-emergency support outside of business hours.
      • Fee: ₹999 per day, per person. This fee is waived for all packages with a total booking value exceeding ₹2,50,000.

Payment Terms

• Advance Payment: For tour bookings where the total estimated cost exceeds ₹50,000, we require an 80% advance payment of the estimated total to initiate the booking process. For amounts below ₹50,000, full payment is typically required on booking completion unless otherwise agreed. For individual component bookings which are non-refundable, we require a 100% advance payment. If suppliers have guidelines such as Pay Later, or Split Payments or Payment plans, we would be happy to pass these on to you.
• Final Settlement: The balance payment is due upon confirmation of all bookings / prior to the handover of travel documents / within 3 days of invoice issuance / as mutually agreed in writing as the agreed upon case may be.
• Payment Methods: Payments can be made via:
  • Bank Transfer (NEFT/RTGS/IMPS) – Bank details available on request.
  • UPI (Virtual Payment Address: alpdigital@icici)
  • Credit/Debit Card (subject to a 3.5% processing fee).

Taxes (GST & TCS)

• Goods and Services Tax (GST): GST at the prevailing rate (currently 18%) will be levied exclusively on our Service Charge components listed in this document. GST is generally not applicable on the actual cost of tickets/accommodation when passed through at cost, unless it forms part of a consolidated tour package.
• Tax Collected at Source (TCS): TCS is applicable on international packaged tour bookings. This can range from 5% to 20%. We would be happy to advise you on this on a case by case basis.
• Tax Deducted at Source (TDS): If TDS is applicable as per Indian tax regulations, it should be deducted only on the Service Charge component (the amount on which GST is calculated). Please do not deduct TDS on the actual cost component (e.g., airfare, hotel tariff). We will require the TDS certificate for reconciliation.

• Quotations are only valid at the time of quotation:
• Important: Please be aware that airfares, hotel rates, visa fees, and availability are highly dynamic and subject to change without prior notice. Rates and availability can only be guaranteed upon successful booking confirmation and receipt of payment/ticketing.

Important Notes

• All fees are quoted per passenger, per ticket, or per booking as specified. Please confirm with your travel advisor if you are unsure.
• All agency service fees are non-refundable and are charged at the time of booking.
• All fees listed are in INR (Indian Rupees).
• Supplier Penalties: Our service fees are separate from and do not include any charges, fees, or penalties levied by the end-suppliers (e.g., airlines, hotels, tour operators).
• All fees are subject to change without prior notice.
